When Logitech for Business's Neil Fluester talks to IT directors about meeting room deployments, he makes one point consistently: the people who matter most in this conversation are not the IT team, they are the HR managers, finance leads, and sales staff who walk into those rooms every morning.
"They don't need to be technical experts. They really don't want to be concentrating on the technology. And it's not just about the people in the room: it's about making sure the people who aren't in the room feel connected and part of that discussion."
Gauthier Renard, Group Product Manager for Barco ClickShare, says that principle should sit at the start of every procurement conversation, not at the end of it.
"People don't come prepared to meetings. They don't read the manuals. Everything has to work on the spot, in a way that just makes sense. They have to be able to walk into one room and then another and use the equipment in the same way."
When rooms behave inconsistently across a building or across sites, the cost is more than support tickets. It is the meeting that started three minutes late, the remote participant who sat watching a frozen screen, maybe even the employee who decided next time they would just stay home.
Why Audio Matters More Than It Used To
The conversation around AI in meeting rooms has focused heavily on cameras: automatic framing, speaker tracking, active switching between participants. Fluester says the less visible consideration is what happens when audio feeds into AI-assisted tools, and it is increasingly the one that determines whether those tools work in practice.
Transcription, translation, and AI note-taking are now built into Teams. The accuracy of those features depends directly on the quality of the audio signal coming in. A microphone that struggles with accents, picks up air conditioning, or fails to separate overlapping voices creates problems that no amount of AI processing can fix downstream.
"When you have an AI picking up tones and notes, and maybe English isn't your first language and you have a dialect or an accent, feeding really good quality audio into that is critical. RightSound 2 allows those smarts to do their job."
Certification Is A QA Process, Not Just A Badge
IT directors evaluating certified MTR hardware often focus on what certification unlocks: devices in the Teams admin centre, centralised update management, licensing deployed at scale. Renard says the part that matters most for long-term reliability is the testing process that sits behind the badge.
"Every party involved, Barco with the compute, Logitech with the audio and video, Microsoft with the application, tests every possible change to make sure nothing gets broken. The investment you have made is kept safe for the lifetime of the room."
That covers every firmware update and every new Teams feature that rolls out. For an IT team managing rooms across multiple sites, it is what makes the centralised management promise credible over time rather than just at launch.
When Teams Rooms Meet The Real World
Native Teams Room functionality handles around ninety percent of daily meetings, according to Renard. The remaining ten percent is where mixed estates run into friction: the external guest who needs to host a Zoom call, the person who walked into an MTR room from a BYOD floor and has no idea how to get started, the ad hoc meeting with no booking and no invite.
Previous approaches to this involved running two separate systems alongside each other, an MTR device and a BYOD setup, which created its own complexity. Wireless BYOD on ClickShare Hub solves it differently, by keeping the switching logic on the Hub itself:

The Logitech bundle, ClickShare Hub Core with MeetUp 2, was certified in May 2026 and is specifically designed for small meeting rooms. Barco is also working on Rally Bar integration to extend the range. Renard says the approach reflects a deliberate choice about what Barco builds and what it sources from partners with deeper expertise:
